 Administrative Assistant (Toronto)

The client is a health solutions company that specializes in personalized cancer care and aims to provide treatment solutions based on the comprehensive analyses of patients’ genomic profile. Informed by cutting edge cancer research, the company is translating scientific knowledge into the  well-­‐being of the patients.
The company is currently headquartered in Toronto, Ontario, Canada, and in Nanjing, Jiangsu, China.

The  Administrative  Assistant will perform  a variety of support functions  for the Director of R&D Department  and the  Toronto  team. This  position reports  to the Director of  R&D Department. The successful  candidate will have the ability  to work independently  and must be able to work  under pressure at times to handle  a variety of activities. The position is a Full Time position with 35 hours per week. 

Responsibilities 

  • Calendar management:  Manages Director ’s calendar by prioritizing schedules and meetings.  Follow up on deadlines and commitments to or from the Director.  
  • Meeting   Planning   and   Organizations: plans and organizes meetings by taking responsibility for the preparation of correspondence,   assembling   the   agenda,   location,   meeting   technology   based   upon  participant  needs,  and  all  other  meeting  logistics.  May  further  prepare  meeting  briefing  documents  by  taking  and  disseminating  notes  and  formulating  post  meeting  action  item  lists.  
  • Travel:   Responsible   for   making   travel   arrangements.   Carefully   considers   and   decides   the   optimum travel  arrangements  and  itinerary  while  managing  expenses.    
  • General  office  duties:  printing,  scanning,  binding,  ordering  and  receiving  supplies,  maintaining  records,  managing  office  inventories;  
  • Assist  in  event  planning,  including  recruiting  events,  exhibitions,  client  and  partner  receptions,  etc.  
  • Attending  to  incoming  telephone  calls:  screening,  taking  messages  and  returning  calls  where  required.  
  • Establishing  itineraries  for  visiting  senior  managers  in  conjunction  with  them  and/or  their  assistants
  • Other  duties  as  assigned.  

Requirements

  • Post-­‐secondary  education with 1+  years of experience  in administrative support  for multiple individuals  at various levels  
  • Highly  professional  conduct, handling  confidential matters  with the utmost discretion  and having a diplomatic  approach to  resolving issues  are requirements at  all times 
  • Bilingual  fluency (verbal  and written) in English  and Mandarin are required 
  • Excellent  communication  skills when communicating with staff and external personnel,  and excellent written  skills to  draft office  documents with  accurate information  
  • Intermediate to Advance Microsoft  Office Suite skills. Please  indicate your level of proficiency  in using Standard  Microsoft office  programs (Word, Outlook,  Excel, PowerPoint) in your  CV/Resume
  • Strong  organizational  skills that demonstrate  the ability to maintain balance  among multiple priorities, with  excellent  attention to  detail and quality  delivery
  • Very  strong  interpersonal  skills and the  ability to build  relationships with stakeholders,  including clients,  staff, board  members, external  partners/vendors
  • Demonstrated  proactive approaches  to problem-solving using  a solution-­‐oriented mind-­‐set
  • Highly  resourceful  team player,  with the ability  to effectively work  independently
  • Proven  time management  skills
  • Driver's  License (Preferred)
